Definition

What podcast guest booking actually means.

Podcast guest booking is the work of matching people with podcasts: researching relevant shows, pitching hosts or guests, and coordinating scheduling until an interview is confirmed on the calendar. It runs in two directions. Experts get booked as guests on other people's shows to reach new audiences, and hosts book guests to keep their own episode lineup full.

Podcept is a boutique booking agency that works both sides. We place experts on podcasts their audience already listens to, and we source, vet, and schedule guests for hosts who run interview shows. Whichever side of the microphone you sit on, the process below is the one we manage for you.

Your options

The four ways to handle it, honestly compared.

There is no single right answer here. Each approach trades money for time in a different ratio, and the best fit depends on which one you have more of.

Do it yourself
Free except for your hours. You research shows, write every pitch, chase every follow-up, and coordinate every calendar. Done well it works, but managed outreach of this kind commonly consumes 10 to 15 hours a week. Our free Podcast Guest Playbook and pitch templates can shortcut part of it.
Matchmaking platforms
Tools like PodMatch and MatchMaker.fm connect hosts and guests who are actively looking for each other, at a low monthly cost. Genuinely useful, especially when starting out. The tradeoffs: you still do the searching, messaging, and scheduling yourself, and the biggest shows in most niches are not browsing a marketplace for guests.
Virtual assistant
Cheaper than an agency and saves you the admin hours, but a generalist VA usually lacks podcast relationships, pitch-writing experience, and a sense of which shows are worth your time. We wrote a full breakdown in agency vs. virtual assistant.
Booking agency
The highest-touch option. An agency builds your target list, writes custom pitches, manages follow-ups and scheduling, and can reach shows that are not soliciting guests anywhere. You pay for that, per booking or on retainer. Our 2026 buyer's guide covers how to evaluate any agency, including us.
Pricing

How our pricing works.

We keep the structure simple: per-booking pricing when you want to pay only for confirmed placements, or a monthly retainer with a better per-booking rate when you want sustained momentum. Premium direct placements onto specific top shows are scoped by consultation, since every show is different.

We do not promise leads, revenue, or rankings from podcast appearances, because no honest agency can. What we guarantee is the work: real placements on real shows, with a replacement guarantee if a booking falls through. Full details are on our services and pricing page.

Questions

Common questions about guest booking.

Podcast guest booking is the work of matching people with podcasts: researching relevant shows, pitching hosts or guests, and coordinating scheduling until an interview is confirmed on the calendar. It covers both getting booked as a guest and booking guests for your own show.

A booking agency handles the full process on your behalf: building a target list, writing personalized pitches, managing follow-ups, negotiating dates, and coordinating scheduling, briefs, and prep. You approve targets and show up to record. Agencies are typically paid per confirmed booking or on a monthly retainer.

It depends on your time and goals. Platforms like PodMatch or MatchMaker.fm are inexpensive and self-serve, but you do the searching, messaging, and scheduling yourself, and most shows on them are smaller. An agency costs more but handles everything and can pitch shows that are not actively soliciting guests. More time than budget: start with a platform. Time is the constraint: an agency makes sense.

With managed outreach, first confirmed bookings typically land within 2-4 weeks of starting a campaign. Recording dates then depend on each show's calendar, and popular shows often book several weeks or months out. Timelines vary by niche and by how well your expertise matches each show.

Yes. We book experts as guests on relevant podcasts, and we separately source, vet, and schedule guests for hosts who run interview shows.
